<p style="text-align: left;">I love <a href="http://www.zoho.com/">Zoho.com</a>. I just want to make that disclaimer before I get too far into this post and you start to wonder about me. <span style="color: #b8860b;"><strong>To summarize Zoho in a phrase, I would say that it is your business online</strong></span><strong></strong>. Zoho offers web-based apps for just about everything your business will ever need.</p>
<p>There are the standard office suite apps like a word processing app (<strong>Zoho Writer</strong>) and a spreadsheet app (<strong>Zoho Sheet</strong>) and a presentation app (<strong>Zoho Show</strong>). These are the ones that I use most frequently and they work just like the other web-based apps you&#8217;re used to (like GoogleDocs) or computer-based apps you&#8217;re used to (like Word, Excel, and PowerPoint).</p>
<p>But when it&#8217;s time to take your business to the next level, you can do that too. Zoho also has apps like a customer relationship management (<strong>Zoho CRM</strong>), a project management app (<strong>Zoho Project</strong>) an invoicing app (<strong>Zoho</strong> <strong>Invoices</strong>), a planning app (<strong>Zoho Planner</strong>), a document management app (<strong>Zoho Docs</strong>) and a central repository (<strong>Zoho Share</strong>). While most freelancers may happily use the basic office suite tools, they can use these &#8220;next level&#8221; business tools to make significant improvements in how their businesses perform. <span id="more-3924"></span></p>
<p>And the list goes on with even more specialized apps that you might have a use for (but I haven&#8217;t used myself). These include an online notetaker, wikis, On-demand remote support, chat, web conferencing, and way more.</p>
<p>So, why is it that I&#8217;m so excited about Zoho and their gigantic suite of apps?</p>
<p>There are a few reason:</p>
<ul>
<li><strong>First,</strong> <span style="color: #b8860b;"><strong>freelancing is a freeing business</strong></span><strong></strong>. You&#8217;re not tied down anywhere. You can work here, there, somewhere else, and then next door. And you&#8217;re not stuck accessing stuff on your laptop. You just need a computer – any computer – and you&#8217;re good to go.</li>
<li><strong>Second,</strong><span style="color: #b8860b;"><strong> it also enhances the continuity if your business</strong></span> because – if your computer suddenly dies – you can simply log on with another computer and everything is stored online. <em>(Folks, that&#8217;s the wave of the future when it comes to computers, by the way: Nothing stored on the hardware itself).</em></li>

But it will be more successful when you&#8217;re running project management software and CRM software and more. This is big-business thinking scaled down to make small businesses more successful.</li>

<p>Now, just in case you think I&#8217;m on their payroll (I&#8217;m not),<strong> I will admit that they aren&#8217;t perfect.</strong> For example, I find their pricing is a little confusing and not always easy to navigate around, but they will answer questions if you email a question to them. And there is some functionality that you don’t get in Zoho apps (like Zoho Writer) that you do get in offline apps (like Microsoft Word). But for the most part, everything you need to run a business is conveniently there!</p>

<p style="text-align: left;">As a freelancer, I&#8217;m sure that it&#8217;s <span style="color: #b8860b;"><strong>your desire to serve your clients to the best of your ability and keep them so happy that they come back to you for more work</strong></span><strong> </strong>. (If that&#8217;s not your desire then you might want to rethink what you do).</p>
<p>For the most part, people come to you with normal requests and you do them.</p>
<p style="padding-left: 30px;">If you&#8217;re a freelance graphic designer, people come to you looking for graphic design.</p>
<p style="padding-left: 30px;">If you&#8217;re a freelance writer, people come to you looking for content.</p>
<p>Makes sense.</p>
<p><span id="more-3912"></span>But sometimes, they include other things in their request that you might not normally do.</p>
<p style="padding-left: 30px;">Maybe, as a graphic designer, they want to you to code their site so it looks as good as your graphic designs.</p>
<p style="padding-left: 30px;">Or maybe, as a freelance writer, they want you to create a brand management campaign because they figure you&#8217;re as skilled in communicating a short, pithy brand as you are creating long, flowing prose.</p>
<p><strong>Unless you&#8217;re a multitalented</strong>,<strong> virtuoso Renaissance man (or woman), you can&#8217;t do it all.</strong> <em>(You probably knew that already but your mom might be shocked to learn it)</em>. And, although you probably want to serve your clients with a smile and help them out however you can, you shouldn&#8217;t take on that additional project. It won&#8217;t be profitable for you (because it will take you longer to do that &#8220;non-core&#8221; work than you think it will) and it won&#8217;t make your customer happy (because you won’t be able to deliver to the degree of success that you think you can).<strong></strong></p>
<p><strong></strong>Your customer has a need but you shouldn&#8217;t fill it for them. Instead, <em><strong>here&#8217;s what to do: </strong></em></p>
<ul>
<li><strong>Start by telling them</strong> that you prefer to only add value where you know you can add value, and assure them that you aren&#8217;t able to help them in this situation. Make sure to point it out in their terms – that they won&#8217;t benefit by getting you to do the project for them.</li>
<li><strong>Stick to your guns!</strong> I&#8217;ve had customers try (sometimes successfully and sometimes unsuccessfully) to convince me that I am the right person for the job. The one time I relented and did the job was a big disaster: I lost the customer and a ton of money as a result.</li>
<li><strong>Recommend a general solution</strong>. I like to recommend a solution to their problem. Sometimes I don&#8217;t have a specific answer but I can recommend a general answer. Just the other day I told a prospective client that the website-specific work she needed me to do was probably better handled by user experience specialist. I don&#8217;t think she was happy about the answer but I know she wouldn&#8217;t be happy if I did do the work. It&#8217;s a lesser of two evils situation. You might want to direct them to a resource that can help them. For example, I will often say something like: &#8220;You might want to post your project on Guru.com or Elance.com and review proposals from several professionals.&#8221;</li>
<li><strong>Cautiously recommend a specific solution</strong>. If you know someone who can provide the service, offer to make an introduction and graciously email both with a nice, introductory email. I say &#8220;cautiously&#8221; because you&#8217;ll want to make sure that they do the quality of work and provide the level of service you need them to.</li>
<li><strong>Build relationships</strong>. If you get the same questions over and over, build relationships with some other freelancers in that category. For example, I get a lot of website building work so I know a few skilled website builders that I happily recommend.</li>
</ul>
<p>If you are a great freelancer (and I&#8217;m sure that you are), you will be offered projects that are outside of the scope of what you do. And if you love your clients (and I&#8217;m sure that you do) you&#8217;ll be tempted to take on that work. <span style="color: #b8860b;"><strong>But that&#8217;s the last thing you want to do!</strong></span><strong></strong></p>

Your role would be our primary back-end developer on these client sites: configuring Drupal, customizing existing modules, and creating custom ones when needed. You will also help define requirements for new projects, and take the lead in planning and developing new small-to-midsize PHP/MySQL web apps (outside of Drupal) for clients.</li>

Welcome back to part three of my interesting conversation with Ali Rowan, professional graphic designer.</p>
<p>Last week in <a href="http://freelanceweekly.com/2010/03/01/putting-the-sizzle-in-your-branding-logo-part-two/" target="_blank">part Two</a>, I shared with you the importance of choosing the right colors for your brand. This week we will take a closer look at what Ali has to say about <strong>fine tuning your design</strong>.<span id="more-3844"></span></p>
<p>The most important thing to watch out for when creating a specific design for your brand is <strong><a href="http://www.copyright.gov/" target="_blank">copyright infringement</a></strong>. Avoid future problems by researching businesses that offer products or services similar to yours.</p>
<p>Being clever with a play of words is sometimes all it takes for another company with a <strong>recognizable brand</strong> to come after you for copyright infringement. <strong><span style="color: #b8660b;">Take the time to create your own unique version of something</span></strong>; don’t take your chances piggy-backing on the already established visibility of someone else.</p>
<p>An example would be perhaps using a likeness of the Jolly Green Giant as the spokesperson for your Landscaping business. Granted, it is two entirely different markets, but copyrights are in place to secure the Jolly Green Giant will represent the vegetables, not your lawn care business.</p>
<p>A play on words or even a slight variation on a <strong>recognized icon</strong> or design may seem like a brilliant idea and provide some humor to your <strong>personal branding</strong>, but can be very troublesome. I didn’t know this, but Ali told me that even some specific colors are copyrighted. It can be a very sticky situation.</p>
<p><strong><span style="color: #b8860b;">Wise words of advice from Ali:</span></strong> <strong>“When in doubt about how far you are pushing your luck, don’t do it.” Better yet, seek the counsel of a professional to guide you.</strong></p>
<p>You want to create a <strong>focal poin</strong><strong>t</strong> within your design and layout. Too much ‘activity’ is distracting to the eye and fails to register as well as one simple powerful item for potential clients to remember.<br />
This is a definite area to work with a professional. <strong>The elements and principals of design are their specialty.</strong></p>
<p><span style="color: #b8860b;"><strong>How much of your personality should be evident?</strong></span></p>
<p>When I proposed this question to Ali, her response was “It depends on the company or service”.<br />
This is best explained by the comparison of two very different occupations:</p>
<ul>
<li><strong>Legal Services</strong></li>
<li><strong>Artist</strong></li>
</ul>
<p>A freelance legal representative probably wouldn’t gain much credibility if they had a fun, creative design on their business card. The business in general has a more serious tone; therefore the <strong>branding representation should reflect the tone of the business.</strong> That’s not to say a legal representative has to be all stoic and somber to be good at what they do, but first impression from the business card has to <strong>instill confidence in the client</strong>.</p>
<p>Breaking out of clichés, like &#8220;serious&#8221; branding for a law firm, while risky, can sometimes be a great way to stand out of the crowd. It&#8217;s okay to break the rules sometimes&#8211;just do it consciously, and know why you&#8217;re doing it.</p>
<p>A freelance artist, on the other hand, is <strong>marketing their uniqueness</strong>. Showing a more detailed ‘taste’ of their skills and talents would do well with <strong>potential clients</strong>. If their artwork is primarily bold strokes and abstract shapes, those features on a business card would be <strong>perfectly acceptable.</strong></p>
<p>As with color choices, it all boils down to <span style="color: #b8860b;"><strong>doing the research and knowing the demographics of your target market</strong></span><span style="color: #b8860b;">, <strong>your competition, and your product</strong></span>. Every little detail is vital to the impression your branding logo will create with its <strong>marketability</strong>.</p>

To embrace cliché, art and design have been a part of her life since she was little—she was temporarily ambidextrous around the age of 3, just so that she could continue colouring when one hand grew tired. To this day, she deeply regrets not keeping up with that, because come to think of it, being fully ambidextrous would be quite awesome.<br />
Brief tangents aside, it was only in 2009 that Ali embarked on her freelance career, and admittedly, she’s still got lots to learn, just as she always will—if there’s one piece of advice she’s got, it’s that there’s always something left to learn, so never stop.<br />
